TAQA North is currently searching for an Executive Assistant. Reporting to the President, you will provide administrative support to multiple executive leaders within different departments and undertake administrative functions to ensure the office management is carried out effectively and efficiently.

Your Key Responsibilities:

  • Routine office duties, scheduling and calendar management including correspondence and agendas, records and reports management and gatekeeping duties (field phone calls, manage requests for meetings, and coordinates various aspects of interdepartmental communication)
  • Administrative support, including preparing written communications, management of schedules, including vacation schedules, expense reports, invoice coding, process flow for document authorization, signatures, and filing
  • Preparation/coordination of reports and presentations using data from various data sets in a combination of written, numerical, and graphical formats
  • Organization of travel, off-site events for large groups and lunch engagements
  • Financial records management including expense report preparation
  • Document control and creation such as memos and company letters
  • Coordinating large-scale corporate and company social events
  • Back up to company’s other Executive Assistants
  • Taking initiative for additional projects and duties as needed

Your Qualifications:

  • A minimum of 5+ years of executive administration experience
  • A post-secondary diploma/certification in administration or office management area
  • Proven ability to work with all levels within a global organization and experience liaising with senior stakeholders outside the organization
  • Comfortable working autonomously and supporting multiple teams
  • Experience and demonstrated discretion in dealing with sensitive/confidential information
  • Excellent interpersonal, written, and oral communication skills
  • The ability to multi-task while setting priorities, give attention to detail and time sensitive matters, and work effectively in a group environment
  • A positive attitude and ability to work with little supervision
  • Excellent time management, organizational, and problem-solving skills
  • Proficiency in Microsoft Office skills, including Word, Excel and Outlook
